What students see at the kiosk
Check-in codes, name search, the one-hour window, the three empty-state reasons, and the staff mode.
Once a staff member has unlocked the tablet, the kiosk belongs to your students. This article walks the screens they see, so the front desk can answer questions without having to stand behind them.
Setup — the PIN, the URL, check-in codes — is Setting up the kiosk.
The check-in flow
Enter your check-in code
The resting screen: your logo, your studio name, "Enter your check-in code", and a big number pad. The student taps their 6-digit code.
Underneath: Forgot your code? Search by name.
Pick your class
"Hi Sam!" with their photo, and the classes they can check in to right now, each with its program name and time.
If there is exactly one class and they haven't checked in yet, this screen is skipped and they go straight to the confirmation. That is the common case, and it makes the whole check-in two taps.
Confirm
"Check in Sam Taylor?" with the program, the class time, and their photo shown large. Confirm or Cancel.
The big photo is the safety moment: it is where a wrong code or a wrong name gets noticed before anything is recorded.
Done
A success screen, then the kiosk resets itself for the next person in the queue.
Searching by name
Forgot your code? Search by name opens a text box. It needs at least three letters and shows matching students to tap. Picking one goes to the same class list.
It exists so a forgotten code never means a student who cannot check in. Nothing about the rest of the flow changes.
The one-hour window
A class is only offered for check-in from one hour before it starts until it ends. Before that it is not open yet; after it, it is over.
The window is checked again when Confirm is pressed, not only when the list is drawn — so a tablet that has been sitting on the confirmation screen since before the class ended is refused with "This class isn't open for check-in right now — check-in opens 1 hour before class and closes when class ends."
The three empty states
If a student identifies themselves and there is nothing to check in to, the message says which of the three reasons applies. This is deliberate: telling a student "no classes today" when their class simply starts in ninety minutes sends them to the front desk for nothing.
| Reason | What they see |
|---|---|
| Their class hasn't opened yet | "Your class isn't open for check-in yet — check-in opens 1 hour before class starts." |
| Every class today has finished | "Your class for today has already ended — please see the front desk." |
| They have no class today at all | "No classes scheduled for you today — please see the front desk." |
The third one is also what a student with no active enrollment sees. If somebody insists they have a class and the kiosk disagrees, check Students then Enrollments first — an enrollment that is Inactive or Suspended is not eligible.
Trial students are eligible too, for the exact classes they are booked into.
Already checked in
Nobody can check in twice to the same class. A student who has already checked in sees "You're already checked in to Kids Karate." Where they have several classes, the ones already done show a green tick and cannot be tapped.
It tidies itself up
The kiosk is designed for a queue of people, so it never leaves one student's details on screen for the next:
- 45 seconds of no interaction on any screen past the code pad and it resets to the code pad. Any tap or keypress restarts the countdown.
- Dead-end messages — "no classes today", "already checked in" — bounce back after about 10 seconds.
- The success screen always returns to the code pad, never to the previous student's class list.
The staff mode
The small Staff link in the top-right corner asks for the kiosk PIN again and opens a different flow: pick one of today's classes — each showing how many people have checked in — then tap names off the roster, with a search box. Each one goes through the same confirmation screen.
Use it for a queue at the desk, for a student whose code is not working, or for a class of small children who are not going to type anything.
Back on either staff screen returns to the student code pad.
What a check-in does
A kiosk check-in creates a Present row on that class's attendance sheet, marked as having come from the kiosk. Staff see it immediately when they open the sheet, and can change it like any other row — but an untouched kiosk row is never re-saved, so the real time of the check-in is preserved.
See Taking attendance.
What to tell students
- "Type your 6-digit code, check it's your name, tap Confirm."
- "Forgotten it? Tap 'Search by name'."
- "Check in when you arrive — it opens an hour before class."
- "If it says no classes today, come to the desk."
