Glossary

Every term this manual uses precisely — registration, enrollment, payer, effective rate, dunning and the rest.

The words this manual uses precisely, in alphabetical order. Where a word means something specific in Dojo Tiger that differs from its everyday martial-arts meaning, the entry says so.

Attendance status

One of four values recorded per student per session: Present, Absent, Late or Excused. Only Present and Late count as having attended for inactivity alerts and the at-risk report. Excused suppresses the trial no-show email but is still an absence everywhere else.

Charge

A single attempt to take money from a card, whether staff took it on a student's page, a family paid online, or a monthly subscription renewed. Every charge lands in the payments ledger with a status: Succeeded, Processing, Failed, Refunded, Partly refunded or Disputed. See Reading the Payments ledger.

Check-in code

A short code belonging to one student, used to identify themselves at the kiosk. Visible on the student's detail page and in the family's own view. Not a password — it identifies, it does not authorise.

Draft / Published

A two-state split used in two unrelated places: announcements (a draft is invisible to families) and your public website (the live page renders a frozen published copy, not your working draft). The two are independent of each other.

Dunning

What happens after a monthly payment fails: Stripe re-attempts the charge on its own schedule — roughly four attempts over about two weeks — while the enrollment sits in the Past due state. Dojo Tiger emails the studio, once per dunning cycle rather than once per attempt, and deliberately does not email the family. Nothing about dunning changes the roster. See When a payment fails.

Effective rate

The monthly tuition one enrollment actually resolves to, after the pricing rules are applied in order:

  1. a custom rate typed onto the enrollment;
  2. an applied promotion (see below);
  3. a sibling tier;
  4. the program's monthly rate.

The first rule that applies wins — they never stack. The enrollment row shows both the number and a label saying which rule produced it. The same resolver feeds the enrollment table, the tuition report and monthly billing, so those three can never disagree. See Setting your prices.

Enrollment

A student in a program. A student in two programs has two enrollments, each with its own status and its own tuition. Status is Active, Inactive or Suspended, and it drives whether the student appears on the attendance sheet, whether they can watch that program's videos, and whether a subscription bills, pauses or winds down.

An enrollment is the only place a per-student price can live.

Family

An explicit grouping of students created on the settings screen, used to rank siblings so the sibling discount knows who is first, second and third child.

Nothing creates a family automatically — not even students sharing a guardian email, though the app will suggest those. "Family" in the everyday sense (a parent and their children) is expressed by guardians, not by this.

Guardian

An adult attached to a minor student. The guardian is who the app emails, who signs waivers, and — once payments are on — whose saved cards are used. A student can have several; one is primary.

Two siblings with the same guardian see the same cards, because the cards belong to the guardian.

Invoice

Stripe's record of an amount owed for a subscription period. Open invoices — due and unpaid — are what the Outstanding Payments report lists. Dojo Tiger does not issue invoices of its own and has no invoicing screen.

Kiosk PIN

One studio-wide PIN. It unlocks a tablet for kiosk use once per device, and is asked for again to switch into staff-driven roster mode. Changing it signs every tablet out. See Setting up the kiosk.

Lead

An enquiry from someone who has not registered — from your website's enquiry form, or typed in by staff. Leads move through stages in a pipeline and can be converted into a trial. A lead is not a student and not a registration. See Leads.

Payer

The person a student's money runs through: their Stripe customer record, their saved cards, their receipts.

  • For a minor, the payer is the primary guardian.
  • For an adult student, the payer is the student themselves.

This is why the card list on a child's page shows the parent's cards, and why two siblings show the same ones.

Program

A class offering families sign up for. Programs are the spine of the app: schedule entries, belt ranks, gear lists, video access, tuition and enrollments all attach to one. Programs are deactivated rather than deleted.

Promotion — two different things

One word, two meanings

A belt promotion is a student being moved up a rank. A pricing promotion is a named discount with a percentage or fixed amount and an optional date window.

They share a word and nothing else. This manual always qualifies it: "belt promotion" or "a promotion (discount)". If a screen says Promo: Summer 2026, it is money.

Rate drift

The state where a running subscription is collecting an amount that no longer matches the enrollment's effective rate — because changing a rate never re-prices a live subscription. The billing cell shows an amber Rate changed badge and a Sync to current rate button. See When you change tuition.

Registration

A submission of your public registration form. It is not a student record and it is not an enrollment. It sits in a worklist with four statuses — registeredwaivers partialwaivers completeaccount created — until somebody on staff enrolls the student.

Until that happens the child is on no roster and no attendance sheet. See From registration to enrolled student.

Session

One dated occurrence of a scheduled class: "Kids Karate, Tuesday 3 September, 5:00pm". You never create sessions directly — you create weekly schedule entries, and sessions are generated from them. Attendance is recorded against a session.

Slug

The short name in your studio's URLs. It is your public website address, your registration link and your kiosk address, all at once. Changing it breaks every QR code and link you have already given out.

Student

A person who trains. Holds their name, date of birth, photo, check-in code, ranks, attendance and enrollments. A student can exist with no enrollments — a prospect you typed in, or someone who left. That is a real state, not a data error.

Subscription

The standing monthly charge at Stripe for one enrollment, created when you press Start in the Billing column. It has its own state — Active, Past due, Paused, Ending — shown in that column. Stopping a subscription never changes the enrollment, and changing the enrollment's rate never changes the subscription.

Trial

A booking for a prospect to attend real classes before enrolling, of two kinds: a one-to-one intro session, or a place in a group class. Trials have their own allowance, statuses and no-show emails, and convert into an enrollment in one step. See Trials.

Waiver / waiver version

A waiver is a document families sign during registration. Editing its text creates a new version; signatures already collected stay attached to the version that was signed, which is the whole point. The waivers screen manages the documents, not the signature records — those live on each registration. See Waivers.
