Who can do what
Owner, admin, instructor and parent — what each one sees, and how to add a staff account.
Dojo Tiger has four kinds of person, and the differences between them are deliberate and fixed. Read this before you add your first staff account — especially the part about admins and money.
The four roles

| Parent | The family view — their own children, the schedule, events, videos, announcements and payments. |
One person can hold more than one role in the same studio. An owner who also teaches usually holds owner and instructor; the sidebar shows the larger of the two.
Admin includes money, and cannot be narrowed
Anyone with the Admin role can charge a family's saved card, issue refunds, start and stop monthly billing, and change the studio's payment settings. There is no per-permission customisation — you cannot make an "admin who can't touch payments". Granting admin is a trust decision about a person, not a settings decision about a screen.
If someone needs to take the register and nothing else, make them an instructor. Instructors cannot see students' payment history, cannot reach settings, and cannot see the payments ledger.
What an instructor actually sees
Their sidebar is three items:
- Dashboard — their own summary.
- Schedule — the studio's week.
- Attendance — the same per-session attendance sheet an admin uses.
That is the whole surface. It is not a filtered version of the admin app; it is a separate, smaller one.
Adding someone to your team
Studio then Team → Add Member. There are two modes, and picking the right one saves a support conversation.
Add existing user — for someone who already has an account
Use this when the person has already signed in to Dojo Tiger — most often a parent at your studio who is also going to teach. Find them by email, pick the role, and they get it immediately. Their password does not change and nothing is emailed.
Create new account — for someone with no account at all
Enter their first name, last name, email and Initial Role. You then choose how the password is set:
- Auto-generate a secure password — the app makes one and shows it to you once, with a Copy button. Hand it over in person or in a message. It is never shown again.
- Set a password myself — you type it and tell them what it is.
They change it on first login
Either way, the new account is flagged as needing a password change. The next time they sign in they are taken straight to a set-password screen and cannot reach any other page until they have set their own. You never end up knowing their real password.
Changing or removing a role
On the Team table, each staff role shows as a badge in the Roles column. Click a badge to toggle that role on or off for that person. Grey means they don't hold it, coloured means they do.
Remove from Staff takes every staff role off someone at once. It does not delete their account — a parent who was also an instructor stays a parent, keeps their children, and keeps their login.
The last owner is protected
If a studio has only one owner, the Remove from Staff button on that person is disabled. A studio with no owner would be a studio nobody could administer. Promote somebody else to owner first, then remove the original.
The Staff Only / All Members filter above the table switches between your team and everybody with any membership of the studio, parents included. Staff sort to the top either way.
What families can and can't do
Parents get an account when they create one at the end of registration, or when you send them a link that prefills their details. From their side they can:
- see their own children, their ranks, attendance and check-in codes;
- register another child;
- read announcements, watch the video library, RSVP to events;
- add and remove a saved card, and pay what the studio has made payable.
They cannot see other families, cannot see the roster, and — importantly for the front desk — cannot cancel or pause their own monthly billing. Every billing change goes through staff, by design. See What families see.
One more role you may run into
A system administrator is a Dojo Tiger platform role, not a studio one. It is not something a studio owner grants, and it does not appear on the Team screen.
