The registration confirmation email

The one email you can edit: your welcome message, your links, who receives it and exactly when it is sent.

When somebody finishes your public registration form, Dojo Tiger emails them a confirmation. It is the only automatic email the studio sends to a new family, and it is the one place you get to say something in your own voice at the moment they have just signed up.

Studio then Email Template is where you edit it. Owner and Admin.

What the email already contains

Most of it is assembled for you and cannot be edited:

So the two things you control are the welcome message and the links.

The welcome message

One block of plain text, up to 5,000 characters, shown directly under your studio name. No Markdown, no formatting — line breaks and words.

If you leave it empty the email falls back to "Thank you for registering with your studio's name! We are excited to welcome you."

This is the paragraph worth spending ten minutes on. The useful ones answer the questions a family asks the day they sign up:

  • What happens next, and who will contact them.
  • What to wear and what to bring to a first class.
  • When to arrive.
  • Whether they owe anything yet.

Up to ten, each with a label and a URL. They render as a list under a Useful Links heading, above the account button.

Two rules the form enforces:

  • The URL must be a real, complete URL — not "myschool.com/faq".
  • It must start with https://. Plain http:// is rejected.

Good candidates: your class schedule page, your policies, a parking or entrance photo, your Instagram. Add Link adds a row; Remove takes one away. The button disappears once you have ten.

Previewing and saving

The Preview card at the bottom shows the shape of the email with your fields in place — [Welcome Message], [Student Name] and so on stand in for the parts that are filled per-registration. It is a layout sketch, not a rendering.

Save Template stores it. The next registration uses the new copy; nothing is re-sent to anyone who registered earlier.

Test it on yourself

There is no "send me a test" button. Register a throwaway student through your own public registration link using an email address you can read, then delete the registration afterwards from Students then Registrations. It is the only way to see the real email, and it is worth doing once.

When the email actually goes out

Not the moment the form is submitted — when the registration reaches "waivers complete".

  • If your studio has active waivers, the email is sent after the family finishes signing them. A family who fills in the form and abandons the waiver step gets nothing.
  • If your studio has no active waivers at all, the registration is complete the moment the form is submitted, and the email goes out then.

Who it goes to:

  • For a minor, the primary guardian's email address.
  • For an adult student, their own email address.
  • If neither exists, nothing is sent.

Students you add by hand never get this email

A student typed in at Students then Students or imported through the bulk table is deliberately excluded, even if you entered an email address. The email says "thank you for registering", which is nonsense to someone who has been training with you for three years and was just migrated into the app.

What you cannot do yet

  • There is no resend. If a family says the email never arrived, you cannot push it again from the app.
  • There is no delivery indicator. The registration record notes internally when the email was sent, but nothing on Students then Registrations shows you whether it went.
  • It is one template. The same welcome message goes to every program, and there is no equivalent editor for any other email the app sends — trial no-show, staff invite, billing prompts and the failed-payment alert all use fixed copy.

The practical answer to "it never arrived" is the one in the email's own footer: have them check the spam folder. It arrives from noreply@dojotiger.com under your studio's name, which is unfamiliar to them. Failing that, tell them what it said and point them at sign-up directly.

If the screen ever shows you a Create Template empty state instead of the editor, that is not normal — every studio is given a template when it is created. Get in touch rather than working around it; see Getting help.
