Reviewing pending registrations
The worklist screen: the four statuses, duplicates, enrolling inline, and why a row disappears.
Students then Registrations is the worklist: everyone who has filled in your registration form and is not yet enrolled in anything. Working it down to empty is the daily job that turns sign-ups into students.
For the wider picture of how a registration becomes an enrollment, read From registration to enrolled student. This article is the screen itself.
What is on the list, and what isn't
The list holds every registration whose student has no active enrollment.
Enrolling a student removes them from this screen
The moment a registration's student has one active enrollment, the row disappears from the worklist. That is by design — the list is a to-do list, not an archive — but it does mean this is not the place to look up an old registration. Go to the student's own page from Students then Students instead, which carries the same guardian details and waiver signatures.
An empty list reads "No pending registrations. All registrations have been enrolled!", which is the state you are aiming for.
The columns
| Column | What it shows |
|---|---|
| Student Name | With photo, and a purple Trial badge if this registration created a live trial. |
| The student's own email — often blank for a child, whose email lives on the guardian. | |
| Program | The program they said they were interested in on the form. It is not an enrollment. |
| Status | One of the four statuses below. |
| Action | View, Enroll, Delete. |
| Flags | An orange Duplicate warning where the app thinks this may be somebody you already have. |
| Submitted | The date the form came in. Newest first. |
Clicking anywhere on a row opens the registration detail page.
The four statuses
| Status | Meaning |
|---|---|
| Registered | The form is in. No waivers signed yet. |
| Waivers Partial | Some active waivers signed, not all. |
| Waivers Complete | Every active waiver answered. No Dojo Tiger login yet. |
| Account Created | Waivers done and the student is linked to a login, so the family can see their own view. |
They move on their own as the family works through the flow — you never set one by hand. A studio with no active waivers has registrations arrive already complete.
Status is not a gate. You can enroll someone at any status, including Registered. Waivers are a policy you enforce at the front desk, not something the software blocks.
Filtering
Four controls above the table, all applied instantly in the browser:
- Search by name or email
- All Statuses dropdown
- From and To dates on the submission date (hidden on a phone)
Enrolling from a row
Enroll turns into a Pick program dropdown listing your active programs. Choose one and the enrollment is created immediately — no confirmation, no second step. The row then leaves the list.
The program the family picked on the form is shown in the Program column as a prompt, but it is only their stated interest. You choose what they are actually enrolled in.
If the student should go into two programs, enroll them into one here and add the second from Students then Enrollments → Enroll Student.
The detail page
View, or clicking the row, opens everything the family submitted:
| Card | What it holds |
|---|---|
| Student Information | Name, date of birth, age, contact details, address, how they heard about you, and the program they were interested in. |
| Guardian Information | Every guardian on the record, with the primary marked. |
| Custom Questions | Their answers to your registration questions. |
| Waiver Signatures | Each waiver by title and version number, signed or declined, the typed name, the timestamp and the IP address it came from. |
| Delete Registration | See below. |
This is the page to open when a family says "I signed that" — it names the exact version they signed and when.
Duplicates
The app flags a registration as a possible duplicate when it looks like somebody you already have. Flagged rows carry an orange Duplicate marker, and the detail page grows a Duplicate Flag card naming the existing student, with their date of birth and email so you can compare.
Two ways out:
- Merge (Keep Original) — it really is the same person. The existing student record is the one kept.
- Dismiss Flag — two different children who happen to share a name and a birthday. The flag is cleared and the registration continues as normal.
Resolve flags before you enroll. Two records for the same child means two attendance histories, two ranks and, if you use monthly billing, potentially two charges.
Deleting
Delete, on the row or on the detail page, asks for confirmation and then removes the registration.
Delete removes the person, not just the row
Deleting permanently deletes the student record, the guardian information and the registration responses. It cannot be undone, and the confirmation says so.
It is for junk submissions and your own test entries. For a family who enquired and did not join, either leave the registration where it is or enroll them and set the enrollment to Inactive — both keep the history.
Signed waivers are kept, not deleted
A signed waiver is a legal record, so deleting a student does not destroy it. The signature is retained exactly as it was signed — the name, the date, the version of the waiver — and is simply detached from the student record that is going away. Nobody, including you, can edit or delete a waiver signature; that is the whole point of it as evidence.
Detached signatures stay private to your studio. Families cannot see them, and no other studio ever can.
A daily routine that works
- Open the worklist. Anything older than a couple of days is a follow-up call, not a data-entry task.
- Resolve any Duplicate flags first.
- Open anything showing a Trial badge in Students then Trials instead — it needs a class booked, not an enrollment. See Trials.
- Enroll everyone who has actually started training.
- Delete only obvious junk.
